Job States

The following are the available "states" a job can be in. The fairly normal work process would be as follows:

 

 

A New Job is started and automatically placed in an EDIT state

Job is BOOKED IN to be worked on in the lab

(optional) Job is BOOKED OUT ONGOING while customer reviews the job, such as for patient Try-In

(optional) Job is BOOKED IN again when received back from the customer

(optional) Job is placed in EDIT mode to make any adjustments to products, notes etc.

Job is BOOKED OUT COMPLETE when finished, and the customer is invoiced

 

 

 

 

Edit

When a job is in an edit state, you can add, modify or remove the items on the job, as well as modify or replace the customer, reference, due date, dept, pricing, discount and terms. This is the normal state a new job is placed in.

 

You can edit any job that isn't in a Completed state (ie. it's been invoiced). To edit a completed job, you will first need to void the invoice.

 

You can Edit a job using the Action Bar, Action Menu, or Shortcut Key. You will be asked to confirm Editing a Job unless you add the appropriate Auto Confirm option to the current user's profile.

 

 

 

 

On Hold

An On Hold job is one not currently being worked on in the lab. This may be because you only produced a quote for the customer and will not start work until the customer confirms this.

 

When you place a job on hold, a print window will appear from which you can choose to print a Quote document. You can have the print dialog automatically suggest printing of particular documents related to the current state of the job - you can configure this from Printing Rules in the Control Centre.

 

You can place a job On Hold using the Action Bar, Action Menu, or Shortcut Key. You will be asked to confirm Holding a Job unless you add the appropriate Auto Confirm option to the current user's profile.

 

 

 

 

Booked In

A Booked In job is one that the lab is currently working on, with a view to booking it out completed when the job is finished. You could either create a new job and book it in, or book in jobs that might be in an On Hold or Booked Out Ongoing state. You can book in Booked Out Complete jobs by first voiding their invoice.

 

When you book in a job, a print window will appear from which you can choose to print a job ticket. You can have the print dialog automatically suggest printing of particular documents related to the current state of the job - you can configure this from Printing Rules in the Control Centre.

 

You can Book In a job using the Action Bar, Action Menu, or Shortcut Key. You will be asked to confirm Booking In unless you add the appropriate Auto Confirm option to the current user's profile.

 

 

 

 

Booked Out Ongoing

A Booked Out Ongoing job indicates the job may have been sent to the customer for review, try-in etc. An ongoing job is not chargeable yet as you are expecting the item to be returned for further work to be done on it.

 

You may wish to also set the Dept/Stage before Booking Out a job as Ongoing, to indicate the stage of the job. You can set up your depts and stages from the Depts/Stages page of the Control Centre.

 

When you mark a job as Booked Out Ongoing, a print window will appear from which you can choose to print a delivery note. You can have the print dialog automatically suggest printing of particular documents related to the current state of the job - you can configure this from Printing Rules in the Control Centre.

 

You can Book Out a job as Ongoing using the Action Bar, Action Menu, or Shortcut Key. You will be asked to confirm Booking Out Ongoing unless you add the appropriate Auto Confirm option to the current user's profile.

 

 

 

 

Booked Out Completed / Invoiced

A Booked Out Completed job is the final stage of a job and indicates that the customer will be invoiced for it - as such this job will now appear on statements and summary invoices. A Booked Out Completed job will have an invoice number (INV) that is independent of the job number, and a tax date. If you void an invoice for a job, then later book out the job as completed again, a new invoice number will be used as determined by the Next Invoice Number in the Control Panel.

 

A completed job cannot be modified or deleted without first voiding the invoice associated with it.

You can have the print dialog automatically suggest printing of particular documents related to the current state of the job - you can configure this from Printing Rules in the Control Centre.

 

You can Book Out a job as Complete using the Action Bar, Action Menu, or Shortcut Key. You will be asked to confirm Booking Out Complete unless you add the appropriate Auto Confirm option to the current user's profile.
